Coffee shop loyalty card that keeps up with the queue
How a digital coffee shop loyalty card works at a busy counter: a quick scan, one stamp per visit and a nudge on the lock screen near your shop.
Short answer
A coffee shop loyalty card has to keep up with the morning queue. With Usuals, the card sits in Apple Wallet or Google Wallet, staff scan it with any phone or tablet and tap Add stamp, and the card updates within seconds. By default the server allows one stamp per 12 hours, and on iPhone the card can show up on the lock screen near your shop.

What does a coffee card need to do at a busy counter?
Picture 8:15 on a weekday. There is a queue to the door, the grinder is running and you have a jug of milk in one hand.
Anything that slows the counter down gets skipped. So a coffee shop loyalty card has a short list of jobs:
- The customer can show it without opening an app or remembering a password.
- Your staff can stamp it without touching the till.
- One visit gives one stamp, even with two baristas on the machine.
- It reminds people of your shop without you writing anything.
A paper card does the first job, as long as the customer remembers it. If you want to keep paper for now, the free printable stamp card gives you a PDF with 8 cards on A4. The rest of this article is about the digital version.
How fast is a stamp when there is a queue?
The customer's card lives in Apple Wallet on iPhone or Google Wallet on Android. They open it and hold up the QR code.
Staff use the scanner in the browser at joinusuals.com/scan or in the Usuals app. Any phone, tablet or laptop with a camera works, so the tablet next to your till will do.
Stamping a card
- Open the scanner and log in with your own staff account.
- Scan the QR code on the customer's card.
- Tap "Add stamp".
That is the whole routine. The card on the customer's phone updates within seconds, often with a short notification on the lock screen. They see 7 / 10 become 8 / 10 while you call the next order.
A few things that help on a busy morning:
- No till integration and no special device. Your till stays as it is.
- Every barista has their own login, and every stamp is saved with the time, staff member and location.
- If the camera struggles, the manual code under the QR code on the card works too.
- If the Wi-Fi drops, the scanner keeps working offline and syncs later. Offline scans up to 72 hours old are processed with the same checks.
Signing up a new customer
New customers can sign up while they wait for their drink. They scan the QR code on your poster with their phone camera, type a first name and tap the Apple Wallet or Google Wallet button.
No app, no account, no password. The card is in their Wallet within about half a minute. Email and birthday are optional.
If someone signs up twice on the same phone or with the same email, they get their existing card back rather than a second one.
How does one stamp per visit work?
By default, a card can get one stamp per 12 hours. This is the 12 hour rule, and it is checked on the server, not on the scanner.
That matters at a coffee bar. Two baristas might scan the same card at the same moment. Or an offline scan from the morning syncs in the afternoon. In both cases the card still gets one stamp.
When a card has already been stamped, the scanner tells staff something like: "This card was stamped today. Next stamp from 16:40." Nobody has to argue at the counter.
How that plays out with the default setting:
- A flat white at 8:00 and a cappuccino at 14:00 on the same day. One stamp.
- Four coffees for the office in one order. One visit, one stamp.
- A coffee at 7:30 on Monday and at 7:30 on Tuesday. Two stamps.
If you would rather work differently, you can change the time per card or turn the rule off. A points card is also possible: it gives a fixed number of points per visit, for example 10.
How does the card nudge a customer near your shop?
Every plan, including Free, has the nearby notification. The card can appear on the customer's lock screen when they are near your shop's address.
Apple decides when it shows. So treat it as a gentle reminder, not something you switch on for a set moment.
Think of a regular walking from the station past your corner. Your card shows up on their lock screen, with their stamps on it. You did not have to write or send anything.
Every plan also has a welcome message. On the paid plans you can send more yourself. These only reach customers who opted in at sign up, and that box is never ticked in advance:
- An offer to everyone or to a group, such as customers near their reward.
- A birthday message, for customers who gave their birthday.
- Win back: after a set number of days without a stamp (default 30), the customer gets a short fixed message and their next visit earns an extra stamp automatically.
Messages are at most 160 characters. Customers can turn off notifications for your card in their Wallet. For the regulars who have gone quiet, read how to win back regular customers who stopped coming.
What reward and how many stamps suit a coffee bar?
A card can have 6 to 12 stamps before the reward, plus 0 to 3 welcome stamps at sign up. A simple setup for a coffee bar:
- 10 stamps
- 2 welcome stamps
- 12 hours between stamps
- Reward: "A free coffee of choice"
With 2 welcome stamps, the customer needs 8 visits to fill the card. Someone who comes in every weekday gets there in under two weeks. Someone who comes twice a week needs about a month.
"Of choice" keeps the counter simple. Nobody has to work out whether an oat latte counts.
When the card is full, the reward shows on the card. Staff scan it and tap "Redeem reward". The stamps for one reward come off and any extra stamps stay.
If you change the reward, colours or logo later, every existing card updates by itself.
To weigh the numbers, read how many stamps before a reward, or use the loyalty card calculator to find a reward you can afford. You can also design your coffee card in the free stamp card maker and see it in Apple Wallet and Google Wallet right away.
What does a coffee shop loyalty card cost?
| Plan | Price | Customers | Locations | Staff accounts | Your own messages |
|---|---|---|---|---|---|
| Free | €0 per month, excl. VAT | 30 | 1 | 2 | No |
| Starter | €29 per month, excl. VAT | Unlimited | 1 | 3 | Yes |
| Business | €49 per month, excl. VAT | Unlimited | 10 | 25 | Yes |
| Enterprise | On request | Unlimited | 100 | Unlimited | Yes |
The welcome message and the nearby notification are on every plan. The paid plans add offers, birthday messages, win back and the AI assistant. The assistant writes a weekly plain language summary and proposes whom to win back. It never sends anything; you decide.
A single coffee bar with up to three people stamping fits Starter. A second shop points to Business.
Plans are monthly cancellable. You pay the first time with iDEAL through Mollie, then monthly payments run automatically. Moving to a smaller plan never breaks existing cards; only new sign ups above the limit are held back. All details are on the pricing page.
How do you start?
- Create an account and choose your reward, number of stamps and colours. Your first card is ready within three minutes, with no payment details needed on Free.
- Download and print the A4 poster with your logo, reward and a large QR code. Put it where people wait for their drinks.
- Open the scanner on the tablet or phone by the till and invite your staff.
- Stamp a card for yourself first, so the team sees what the customer sees.
- Regulars with paper cards? Once they have added the new card, add their paper stamps in your dashboard with a reason, so it shows in the history.

Frequently asked questions
Does a digital coffee card work on Android phones?
Yes. On Android the card goes into Google Wallet, which most Android phones come with. On the sign up page your customer picks Apple Wallet or Google Wallet, and iPhone users get Apple Wallet first.
What happens when a customer loses their phone or gets a new one?
The card moves with them. Apple Wallet moves cards over through iCloud and Google Wallet keeps them in the Google account. Stamps are stored on the server, and signing up again with the same email on a new phone brings the existing card back.
Can I see how many of my coffee customers come back?
Yes. Reports show visits per week, new and returning customers and redeemed rewards. You can also export your customer list as a CSV file whenever you like.
Where is my customers' data stored?
On servers in the EU, and Usuals works under the GDPR. You are responsible for your customers' data and Usuals processes it on your behalf, set out in the data processing agreement in every account. Customers can see and delete their own data through a link on the back of the card.
Can I use the card at more than one coffee bar?
The Business plan covers up to 10 locations, 2 card designs and 25 staff accounts. Every stamp is saved with the location where it was given, so you can see where each visit happened. Larger groups can ask about Enterprise.
